You can add supplier details as a Contact on PayMate one at a time or together in bulk. To add a single supplier as a Contact on PayMate go to Contacts - Add Contact


Only the Maker or the Admin user of the Contact Management user department can add a supplier or a buyer as a Contact on PayMate.



Follow the below steps to add a Supplier as a Contact on PayMate.


Basic Information


  1. Under Type of Contact select the type Supplier
  2. Enter the Company Name of the supplier. 
  3. Enter the Company Nick Name(optional)
  4. Enter the Reference Code for the Supplier.
    The Reference Code is similar to the Vendor Code most companies assign to their suppliers during supplier onboarding.
    The Reference Code has to be unique for each supplier or buyer you add to your account on PayMate
  5. Select the country where the supplier is located
  6. Enter the name of the contact person in the supplier's company
  7. Enter the designation of the contact person
  8. Enter the email address of the supplier.
    This email address will be used to send email alerts to the supplier when a payment is made to the supplier
  9. Enter the mobile number of the supplier
  10. Enter the company website and description (optional)
  11. Click on Save


Bank Account Details

The next step is to add the bank account details of the supplier. Payments made to the supplier will be credited to the bank account you enter here.



Follow the below steps to add the bank account details for the supplier

  1. Select the country where the bank account exists
  2. Select the bank name. The Route Code and Swift Code will be populated automatically based on the bank name selected.
  3. Select the currency in which payment will be made to the supplier
  4. Enter the account holder's name. 
  5. Enter the IBAN number. The bank account number will be populated automatically based on the IBAN entered.
  6. Enter the bank account's Branch Address and the Payable City.
  7. Click on Add Account


You can add additional bank account details for the same supplier. Once the bank account details are added click on Confirm



KYC Details

Every supplier that gets added to the PayMate platform will have to be KYC verified by PayMate as per regulations. You will be able to make payments to the supplier only after successful KYC verification by PayMate.


To carry out the KYC verification PayMate will need the KYC documents of the supplier. On the next step in adding a supplier, you can select who will upload the KYC documents of the supplier - the Supplier himself or the Business.



Once the supplier details are added the supplier will be awaiting approval under Contacts - Manage Contacts. The Approver or the Admin user of the Contact Management user department has to approve the supplier added.



Once the supplier addition is approved the supplier will receive an activation email. The supplier is expected to follow the instructions in the activation email to activate his account on PayMate. The supplier can then upload the KYC documents on PayMate for KYC verification.
